App & Slack Integration Privacy Policy

1. Information We Collect

Account information. Your name, email address, password (stored hashed), and account settings.

Conversation content you create. Audio you record or upload through the Memoket app or Memoket Gem device, the transcripts generated from that audio, and the AI-generated summaries, insights, and action items derived from it.

Slack integration data. When you connect Slack, with your authorization we access:

• the list and basic information of public channels in your workspace (channels:read), so you can choose where to send a summary;
• your Slack display name and basic identity (identity.basic), to link your Slack account to your Memoket account;
• the ability to post messages to the channel you select (chat:write), and to join the public channel you select so we can post into it (channels:join).

We do not read your Slack message history, and Memoket does not join channels automatically. We only post the content you choose to send, to the channel you choose.

Device and usage information. Device type, app version, IP address, and information about how you interact with the Services, used to operate and improve the product and for security.

Location (Android Bluetooth only). On some Android devices, the operating system requires location permission to enable Bluetooth scanning to connect to the Memoket Gem device. We do not use location for tracking or advertising, and we do not transmit your location to our servers.

2. How We Use Your Information

We use your information to:

• transcribe your recordings and generate AI summaries, insights, and action items;
• deliver the summaries and action items you choose to send to your selected Slack channel;
• create and manage your account, authenticate you, and provide customer support;
• maintain, secure, and improve the Services;
• comply with legal obligations and enforce our terms.

3. AI and Large Language Models

Memoket uses AI and large language models to transcribe conversations and generate summaries, insights, and action items.

• Providers. We use Microsoft Azure OpenAI Service (GPT-5 series) to generate summaries and responses, and Speechmatics for speech-to-text transcription.
• No training on your data. Your content is sent to these providers only to generate output for you. Customer data is not used to train our models or the providers' models.
• Processing location. Customer data is processed in the United States.
• Accuracy. AI-generated output may occasionally be inaccurate or incomplete; please review important information before relying on it.

4. How We Store and Protect Your Information

• Storage. Customer data (recordings, transcripts, and AI-generated summaries) is stored in Amazon Web Services (AWS) cloud infrastructure in the United States (US East, us-east-1).
• Encryption. Data is protected with multi-layer encryption in transit and at rest.
• Access controls. Access is permission-based, so information is only available to the people and systems authorized to use it.

No security measures are perfect; we cannot guarantee absolute security, but we work to protect your data using industry-standard safeguards.

5. Sub-processors

We share data with third-party service providers ("sub-processors") only as needed to provide the Services:

A current list of sub-processors is maintained at trust.memoket.ai.

6. How We Disclose Information

We may disclose your information: to sub-processors who perform services on our behalf; when you direct or consent to disclosure (for example, posting a summary to Slack); within our corporate group; in connection with a business transaction (such as a merger); and to comply with applicable law, legal process, or to protect our rights and the rights of others.

We do not sell your conversation content.

7. Data Retention and Deletion

We retain customer data for as long as needed to provide the Services, maintain your account, comply with legal obligations, resolve disputes, and enforce our agreements.

• You can delete your data at any time by deleting recordings in the app, or by contacting us at hello@memoket.ai.
• On a verified deletion request or account closure, we remove the associated personal data (including recordings, transcripts, and summaries) from our production systems within a reasonable timeframe, except where we are required to retain certain information to comply with legal obligations.

8. Your Rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at hello@memoket.ai. We may need to verify your identity before responding.

9. International Transfers

We may transfer, store, and process your information in the United States and other countries. Where required, we rely on recognized transfer mechanisms (such as the European Commission's Standard Contractual Clauses) for transfers from the EEA or UK.

10. Children

The Services are not intended for children under the age of majority in your jurisdiction, and we do not knowingly collect their personal information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy and update the "Last updated" date above.
